FALL REGISTRATION 2007

 

Important Note

The league has a new computer system for all functions of the league, but particularly for registration.  Please read this carefully as it will walk you through the new processes.  They are extremely different than what you have done before. I have been playing with this for four weeks now and have encountered numerous bugs. This unfortunately, comes with a new computer system as the users try things out.  I have been working closely with the webmaster to iron out the bugs I encountered.  You may find more.  Feel free to ask me lots of questions, but please make sure the answer is not already here first.

 

For every player, there is now essentially two forms of registration:

  1. Website registration (which will be used by Redwood League)

  2. CY Registration (which will be used by District 2)

 

Step #1 Register Yourself on the website

One big difference with the new website is that the majority of the functionality of the website is not available to you if you have not registered.  The correct functionality will also not be available to you if you do not identify your roles with the league correctly

  • To register on the website select logon and then register

  • Fill out the blanks.  Pay particular attention to your roles. 

  •  

  • Most of you will need to check coach, manager, and parent.  If you are a member of our club board you will need to tell the webmaster in the notes section that you are a club board member as well

  • Hit register at the bottom of the form when you are done filling it out.

  • Make sure you list an e-mail address or you will not know your assigned password.  Your registration is not instantaneous.  Within 24 hours, you will be e-mailed a password to use to logon.

  • Above is a copy of what my menu looks like after I login.  Most of you should see all of these same tabs except the registrar tab.  If you have made an error in your registration and do not see these tabs, or need to update one of your roles you will need to send the webmaster an e-mail at webmaster@redwoodsoccer.org

Step #2 Register Your Significant Other on the Website

If you will register with your team as manager, you must have your coach register on the website following the procedures above in order to have two adults for a team. 

If you will register with your team as coach, you must have your manager register on the website following the procedures above in order to have two adults for a team.

The team registration requires two adults.  You can not enter in the other adult's name. It comes form a pulldown menu of those registered on the website.  Therefore, if both of you are not registered on the website you will not be able to register a team.

 

Step #3 Register Your Team

Register a team through either the Coach or Manager tab.  From either of these, select add a Team.  The screen will look like this:

 

Note that lamination is a $30 fee.  Do not select this service if you do not want to pay this fee

Once you have filled out this form, select update..  A blank player list will now appear.  As your players are registered on the website, they will appear on your player list. 

 

Step #4 Website registration for all parents on your team

All of your parents must register on the website to register their child. This can be done in one of two ways.  It is up to you which way you choose.

  1. You have your parents complete the procedure outlined in Step 1 and check their role as parent

  2. You add the parents for your team by filling out the form below:               An e-mail will then be sent to them with their password.  The form can be found when choosing manager or coach on the menu.  Then Register Team and you will then find an Add Parent choice.

 

Step #5 Add Players

A manager or coach can add a player.  The menu selection is Register Team then Add New Player.  You must then fill out the following form:

For coaches/managers, fill out as much of this as you can.  Particularly select next team from the pulldown menu to add him to your team.  You eventually want all of this form filled out as it will be used to generate the 1601.  If you need your parents to fill out some of this form, they will not be able to do so unless you have registered them and then selected them on the parent pulldown menu seen above.  Make sure to hit update once you have filled out the form.

 

A  parent would modify this form by logging onto the website and then selecting Parent/ Players.  Their website registered children should then appear.  To modify their information, a parent would click on the Key field.  The player profile will then appear and they can make changes.  They need to hit update when they are done.

 

If a coach or manager wants to later edit this form, they need to select Manager/manage/users.  All of their player and coaches should appear.  Any of these can be edited by clicking on the key #.  For players, only the upper portion of the player profile will appear.  Click on the arrow to the right of the word playerat the bottom of the form and the rest will appear.  Hit update when you have made all of your changes.

 

If a player wants to edit his own profile, he/she selects Services/Profile.  He/she then must hit update when all changes are complete.

Step #6 Team Transmittal form

You must have a minimum of 13 players to register an 11x11 team or 10 players to register an 8x8 team. You must submit 2 copies of your team transmittal to the league.  To get to the transmittal, go to your team registration. Manager or Coach/ register a Team.  Hit update, even if you have no updates and you will see an icon appear to the right of the Team registration label on your team form.  Click on this icon to go to the Team transmittal form.

 

  At this point a player and your team are registered on the website, the player oradult  must now prepare the registration for the District 2.

Step #7 Paperwork

For each player you must submit:

  • Form 1601: Paper 1601 forms are still very necessary.  The league would prefer that you generate these online.  A parent, manager, or coach can do this.  A Manager or coach selects Manager or Coach /manage/users and gets a list of his players.  There will be an icon at the far right of each player's name that will generate a 1601.  A parent generates a 1601 by selecting Parent/Players.  They also will find an icon at the far right of each of their web registered children's names that will generate a 1601.  A Player generates a 1601 by going to Services/Profile.  The profile will appear with an icon in the center for the 1601.  The 1601 will already have all of the information from the player profile carried over onto the 1601.  2 copies of the online form must be submitted with a wet signature in non-black ink on both.  For those who do not have computers, the regular 3-ply form is still available.  Form 1601 instructions.

  • Proof of Age: A photocopy of the player's birth certificate or passport, or other proof of age document as specified in CYSA General Procedures, section 3.05 - Proof of Age.  If the birth certificate or passport is in a foreign language, the Foreign Language Translation Form, Form 1627 instructions,  must also be submitted.  No other form may be substituted including a notarized translation document.  Download the form here

  • 1 picture.  Cut to 1x1.  The player name and club/team must be written in non smudegable ink on the back of the picture.  (please see pictures section, for picture rules)

 

For each adult you must submit:

  • Form 1628 A Coach Registration/Team disclosure form.  Click here for Form 1628 instructions.  The league suggests that you fill out all items on this form (even the ones listed as optional) to expedite the background check.  The form is available online now.  Click here

  • 1 picture. Cut to 1x1.  The adult name and club/team must be written in non smudegable ink on the back of the picture.  (please see pictures section, for picture rules)

  • A photocopy of their coaching license, driver's license and PCA card all on the same page.  No adult registration will be accepted without all of these.  If you have lost any of these, contact the redwood league head coach, Tim Nixon via e-mail at BUSCRevolution@aol.com to get a replacement.  You can not register until you receive the replacement. 

FEES

The fees are $40 per player and $6 per adult.  If you are playing in Abronzino, there is an additional $125 league fee.  Checks need to be made out on a team account. 

ABRONZINO PROCEDURES

If you intend to participate in Abronzino in Fall 2007 there are additional items you need to do.  Redwood League admits they are currently unclear on the specifics.  As soon as they are available, I will post them here.

 

PICTURES

Pictures must meet the following criteria:

  • Be no more than 1" wide x 1 " tall.  Cut the pictures down to size before you submit them!  Historically I have had to cut down 30% of the pictures!  I will not do this this year

  • No polaroids.  Digital pictures printed on photo paper which are clear, not grainy, will be accepted

  • Clear, not dark, not shaded.  I had one team that took all of their team's pictures digitally on the same day with the sun positioned so that the player's faces were shaded.  Every single picture was rejected. 

  • All parts of the face, facing forward are shown.  Both ears in picture.  All of hair in picture.  Chin in picture.

  • No hats

  • No sunglasses.

  • No laminated or thick pictures.  You can't cut the picture off of last year's pass.

  • Name, team and club on the back in non-smudgeable ink.  The registrar is dealing with thousands of pictures.  If one becomes detached and has no name/club/team on it, it will get tossed and that players' registration will become invalid.

 
     

CHANGES TO THE INITIAL ROSTERn (under revision)

Any additions to the original online roster (player or adult) must submit:

  • The team roster: change in status form, Form 1606 instructions.  This is a new form.  Do not use the old forms for, player add, player release, player transfer, or adult add.  They are no longer valid.  This form replaces all of them.  At no time can the total player roster exceed 18 players.  There is not yet a download of this new form, but may be soon.

  • Form 1601 for player add.  See above for download and instructions.

  • Form 1628 for adult add.

  • For a player add, a photocopy of the player's birth certificate or passport, or other proof of age document as specified in CYSA General Procedures, section 3.05 - Proof of Age.  If the birth certificate or passport is in a foreign language, the Foreign Language Translation Form, Form 1627,  must also be submitted.

  • 1 picture for player or adult add.  The player name and club/team must be written in non smudegable ink on the back of each picture.

  • $40 per player, $6 per adult, $5 per transfer

  • Allow 14 days to process.

     

TOURNAMENTS

Many tournaments allow guest players.  Particularly in the summer months when many of your players may be on vacation, your team may want to take advantage of this.

  • For every guest player you must fill out CYSA Guest Player Form, Form 1611.

  • If a guest player would put your roster total over 18, Form 1613, the CYSA Guest Player Roster Addendum Form, must be filled out.

TEAM NUMBERS
Team numbers for 2007/2008 are assigned by the website system.  They are new numbers and not the one you had previously.  Mak a note of them.
 
Words of Wisdom
Keep in mind the hierarchy of things and the lead time
  • You can not enter in a team unless both a coach and a manager have logons.  Obtaining a logon can take hours, or 1-2 days depending on the volume.
  • You can not build a player profile until the team is registered.  To start a player profile, you need a parent profile.  If you need the parents' help in building the profile, they can not log on to help until they receive their password ... again could be 1-2 days.
  • I would suggest starting by registering your team and adding all of your parents yourself rather than have them register on the website
  • I would suggest that you print the 1601s yourself for signature rather than have the parents do it.  This way you can review the player profile and make sure it is correct before the 1601 is generated.  Once the 1601 is generated you can not change the portions that come from the player profile on the 1601.  They must be changed on the player profile.  If a parent were to make an error you would have to go through the signature process all over again.
  • Give this a lot of time.  Do not leave it until the last minute.
